The brain behind your business.
Most South African businesses don't have a tools problem. They have too many tools, and nobody whose job it is to connect them.
The client's request arrives by email. The details live in a spreadsheet. The invoice sits in Xero, the documents are in OneDrive or Dropbox, and the answer to "where does this stand?" lives in someone's head. So your best people spend their days copying, chasing and checking, and the work that grows the business gets what's left of the afternoon.
We built Clara to fix that. Clara is an AI operating system. It connects the tools you already have, takes on the manual work, and keeps a person in charge of every decision.
What "AI operating system" actually means
The phrase gets used loosely, so here is what we mean by it.
An operating system sits underneath everything else. It doesn't replace the applications you rely on. It coordinates them, gives them a shared memory, and decides what needs attention. Clara does that for a business. Your email, accounting, documents and industry platforms stay where they are. Clara reads across all of them, holds the context, and does the routine work in between.
It comes down to three things: connect, do, approve.
Connect. Clara plugs into Microsoft 365, Gmail and IMAP mailboxes, Xero and Sage, and OneDrive, Google Drive and Dropbox. Industry modules add connections to the platforms specific to your sector. Slack and WhatsApp are on the way.
Do. Clara learns your business: your clients, orders, policies, documents and history. Then it operates alongside you. It processes incoming work, keeps records straight, prepares quotes, reports and follow-ups, and works out the next step before you ask. Email is one way work arrives, not the limit of what Clara does.
Approve. Nothing leaves the building until a named person says so.
Ask Clara: questions in plain language
The part people notice first is Ask Clara. You type or say a question about your business, and Clara answers from your live data.
- Which clients have policies renewing in the next 30 days?
- Which orders are stuck, and what's still owed on them?
- Which invoices are overdue, and by how much?
- Which leads scoring above 70 haven't been contacted?
- What's due for dispatch this week, and is it all paid?
The answers are built to be checked. Clara gives exact counts ("4 of 31 open orders"), names its sources, shows timestamps, and says so plainly when there is data it couldn't reach. That last part matters. An assistant that guesses confidently is worse than none, because you can't tell when to stop trusting it.
You can also ask once and keep the answer running. Standing questions turn a one-off query into a watch: tell me when a request has waited more than two days, and Clara will.
It watches over your business while you sleep
Dashboards only help if someone remembers to look at them. Clara doesn't wait to be asked.
Every night, Clara inspects your entire business: money, operations, clients, requests and orders. It builds a picture of your company's health, and each morning it reports on what needs you: immediate actions, potential risks, and what changed overnight. A command centre pulls it into one view, urgent alerts surface the moment something crosses a line you care about, and you can question any item in the briefing or export it to CSV.
Then it follows up. Overdue invoices, stalled requests, leads that never got a reply, renewals coming due: Clara tracks them and prepares the follow-up automatically, so nothing slips. You approve, and it goes.
It helps you grow, too
Clara isn't only about taking work off your plate. The platform includes growth and marketing: lead generation with scoring and approved outreach, and marketing that publishes to LinkedIn, Instagram and Facebook. The hours you get back from admin go to the core of your business, and Clara helps you fill them with new clients.
Human in charge, by design
Businesses are right to be wary of AI that acts on its own. Clara is designed around that concern, not in spite of it.
- Approval is mandatory. Clara prepares work. A named person approves it before anything goes to a client, supplier or system.
- Real senders. Outbound email goes from the actual employee's address, never from a shared robot account, so clients keep dealing with people they know.
- A full audit trail. Every record, document and approval is logged with who, what and when.
- Role-based access. Permissions are set by module and by policy type. Cost and margin visibility can be limited to admins.
- Built for POPIA. Data is encrypted at rest and in transit, in support of POPIA and GDPR compliance.
This is why we describe Clara as infrastructure rather than a replacement. It doesn't take judgement away from your team. It takes the typing, filing and chasing away, and leaves the judgement with them.
Built for any business
Clara works for any business, from SMEs to enterprises. Its core is the same everywhere, and at the heart of it is a central knowledge and understanding of your whole business: your clients, products, orders, documents, processes and history, drawn from every connected system and kept current. Everything else is built on that.
- Customer 360 view. One complete picture of every client: their history, documents, requests, orders, invoices and conversations in one place. It replaces the CRM you'd otherwise maintain by hand.
- Compliance and approvals. Every outbound action needs a named person's approval, with role-based permissions and a full audit log of who did what and when, built to support POPIA and GDPR.
- Work intake and request board with approval queues.
- A document vault with version control and sharing.
- Company health, briefing and follow-ups: nightly inspection of the business, a daily briefing, standing questions and automatic follow-ups.
On top of that core sit industry modules that add what a particular kind of business needs. Here are some examples, based on the four types of business we're working with today; they are where we started, not the limits of who Clara is for.
Financial advisers and brokers. Client books, claims, renewals and commission tracking, with review gates on client-facing reports. We cover this one in depth in Meet Clara: Why Brokers Spend More Time on Paperwork Than Clients.
Made-to-order manufacturers. The full path from quote to order to production to invoice, with deposit-first production tracking, Xero invoicing, production-stage monitoring, dispatch dates, and a client portal for trade customers.
Interior and design studios. Structured quote requests that arrive with briefs and images, order status with messaging threads, and invoices and payments in the same place.
Growing businesses. The core platform plus Finance (with Xero), a Marketing module that publishes to LinkedIn, Instagram and Facebook, lead generation with scoring and approved outreach, and AI-assisted customer support.
Already in daily use
Clara isn't a slide deck. Businesses working with Clara today: financial brokers, manufacturers, interior design studios and SMEs. They are very different operations, and that's the point. The same core, with the right module on top, holds up in all of them.
Where Clara fits
Generic AI chat tools can't see your data, can't act inside your systems, and can't be held accountable. Clara is the opposite: it knows your business, does the routine work, shows its sources, and always leaves the final call with you. It's the same AI-first thinking we bring to every xlabs build, applied to the everyday running of a business.
See it on your own work
